An advance payment that falls on a weekend or public holiday moves to the next working day. For the VAT return, the customer listing and the annual accounts we show the legal day itself. If it falls on a weekend, check whether it moves; filing on that day is always on time.

Since 1 January 2026, invoices between Belgian VAT-registered businesses are structured e-invoices, sent through Peppol by default. There is no fixed date, so it is not in the list, but your bookkeeping software has to handle it.

Example dates based on the FPS Finance VAT calendar, the rules for advance payments and the annual customer listing, read on 30-09-2026. Your accountant confirms the dates for your file.

The office

A small office in the centre of Ninove, with a long table where you are welcome to sit down with your box of papers.

Our clients are self-employed people and small BVs from Ninove and its villages: Appelterre-Eichem, Aspelare, Denderwindeke, Lieferinge, Meerbeke, Nederhasselt, Neigem, Okegem, Outer, Pollare and Voorde. A hairdresser, a joiner, a physio, a webshop run from home.

You get one bookkeeper who knows your file and calls you by name. When they are on leave, a colleague takes over with the same notes.

How your month goes

With quarterly VAT this happens in the month after the quarter; with monthly VAT, every month.

  1. All month

    You collect

You photograph an invoice or a till receipt with your phone and put it in the shared folder. E-invoices that arrive through Peppol we fetch ourselves.

  2. Around the 5th

    We book

We process what came in and ask for what is missing, such as a receipt without a VAT number or an invoice in the wrong name.

  3. Before the 20th or 25th

    We file

The VAT return goes in through Intervat. If the amount is not what you are used to, we ring you first.

  4. The same day

    You pay

You get one message with the amount, the account number, the structured reference and the last day to pay.

One quarter of till receipts. A photo of each is enough.

Questions

What is Peppol and do I have to do anything?

Since 1 January 2026, Belgian VAT-registered businesses send each other their invoices as structured e-invoices, through the Peppol network by default. You need a Peppol access point for that. At the first meeting we check which one suits your bookkeeping software.

Can I send my invoices from my phone?

Yes. A photo or a PDF in the shared folder is enough. If an amount or a date is unreadable, we ask you.

What if I get a letter from the tax office?

Send us a photo of it the same day. We read the letter, note the deadline and tell you what needs to happen. If we can reply on your behalf, we do.

I already have an accountant. How does a switch work?

You sign an engagement letter with us and tell your current accountant you are leaving. We request the file from them. The easiest moment is the start of a new financial year or quarter.

Which dates are not in the calendar?

The exact day of the personal and corporate tax returns, because FPS Finance sets it each year. They do appear in the right month. Social security contributions and payroll withholding tax belong with your social insurance fund and your payroll provider.

Ask for a first meeting

Dear business owner,

Tell us your legal form and how you file VAT. We then prepare the first meeting and you hear the price of your package straight away.

The first meeting takes half an hour and is free of charge. Feel free to bring your last VAT return or tax assessment.

Kind regards,
