This Privacy Policy explains how FLUXIVE collects, uses, stores and protects your personal data when you visit our website or use our services. We value your privacy and process your data in accordance with the GDPR and applicable Belgian law.

FLUXIVE is the data controller for the personal data collected through this website.

3.1 Data You Provide Directly

Through our contact form or direct email communication, we may process the following data:

  • Name
  • Email
  • Phone number (optional)
  • Company name (optional)
  • Selected service(s)
  • Message content

Depending on which form you use, we also process:

  • Newsletter: your email address.
  • Reviews: company name and the content of your review.
  • Idea submissions: your idea, and optionally a business name and email address.
  • Wi-Fi support: name, email, phone, company name, location and your message.
  • For contact and Wi-Fi requests, we also log your IP address, browser (user-agent) and referring page for security and abuse prevention.

3.2 Data Collected Automatically

When you visit our website, we may automatically collect certain technical data via cookies and similar technologies (see also our Cookie Policy):

  • IP address (anonymised where possible)
  • Browser and device information
  • Visited pages and interactions
  • Timestamps and session duration

4. For What Purposes Do We Use Your Data?

We process your personal data only for specific, explicit and legitimate purposes, including:

5. Legal Basis for Processing

Depending on the context, we process your data on one or more of the following legal bases:

  • Consent (Article 6.1(a) GDPR), for example when you submit a contact form.
  • Necessary for the performance of a contract (Article 6.1(b) GDPR).
  • Legal obligation (Article 6.1(c) GDPR), e.g. accounting obligations.
  • Legitimate interest (Article 6.1(f) GDPR), such as improving our services and securing our systems.

6. With Whom Do We Share Your Data?

We do not sell your personal data. We may share limited data with:

  • Microsoft 365 (Microsoft, EU) — our email service, where messages sent via our forms or email are received and handled.
  • Vercel (United States) — web hosting for our website. Processing may take place in the US under the EU Standard Contractual Clauses (SCCs).
  • Neon (database hosting, EU) — the database where form submissions are stored.
  • Vercel Web Analytics (Vercel) — cookieless website statistics, only if you consent to analytics cookies. No cookies are set and no personal data is stored.
  • Google (Google Ads) — conversion and advertising measurement, only if you consent to marketing cookies. Processed in the US under the EU–US Data Privacy Framework / SCCs.
  • Anthropic (United States) — when you use the chat assistant, your messages are processed by Anthropic (Claude) to generate replies. Processing takes place in the US under the EU Standard Contractual Clauses (SCCs). Anthropic does not use this data to train its models. Sub-processors: trust.anthropic.com/subprocessors.
  • Professional advisors (accountant, legal counsel) where necessary.
  • Public authorities where legally required.

International transfers: where a processor handles data outside the European Economic Area (e.g. Vercel, Google or Anthropic in the US), we rely on the EU–US Data Privacy Framework and/or the European Commission's Standard Contractual Clauses (SCCs) as an appropriate safeguard. Our database is located in the EU.

7. Data Retention

We retain your personal data only for as long as necessary for the purposes for which it was collected, unless a longer retention period is required or permitted by law (e.g. for accounting obligations).

  • Contact and Wi-Fi support requests: up to 24 months after the last contact.
  • Newsletter subscriptions: until you unsubscribe.
  • Reviews: until they are removed.
  • Chatbot conversations and lead requests: up to 24 months.

8. Your Rights

Under the GDPR, you have the following rights regarding your personal data:

  • Right of access
  • Right to rectification
  • Right to erasure ("right to be forgotten")
  • Right to restriction of processing
  • Right to data portability
  • Right to object to certain processing activities (such as direct marketing)
  • Right to withdraw your consent (for processing based on consent)
